Inter-Club Weekends and Holidays
What is an Inter-Club Weekend or Holiday?
Basically it is when one IVC invites members of other IVCs around the country to partake in a hectic series of activities, entertainments, eating and drinking in their own or another interesting area. The guests usually stay in local B&Bs and hotels to visit local sites, historical and natural, and hostelries.
They can be large affairs, with fifty or more guests, or smaller affairs with maybe only a dozen, depending on the size and resources of the host Club. The object is for the Club members to meet and socialise with members from all over the country and mutually enjoy themselves.
A holiday often involves either or both travelling further afield and for a longer period. When organising a holiday, care should be taken to familiarise yourself with the requirements of the Package Trave Regulations as shown below.
Package Travel Regulations If your club is thinking of organising any sort of holiday or day outing involving the club collecting monies for the trip, it is important to avoid falling foul of the Package Travel Regulations
Below is one of the most commonly asked questions regarding what constitutes Package Travel when organising a holiday.
I am just putting together a holiday for members of my social club. Am I caught?
Answer: The Regulations apply to selling and offering for sale. If the members of the social group have agreed to share the cost of a package they have decided to organise themselves, and they have merely appointed you to organise the details, then you are unlikely to be selling or offering for sale the package - even though a surplus may be retained by the organisation to be disposed of as the members may decide. (See definition of a "package" in regulation 2(1).)
Important: This means any monies collected for a holiday organised by a club must be paid to the club account and not an individual. Otherwise the member could be potentially viewed as "selling" the holiday.
This reflects current AIVC custom and practice to only pay monies for holidays to a club. Otherwise members are advised to request that members attending a holiday should pay for their own travel and accommodation.
