Activities Initiator - Club Job Description

The following job description is for the Activities Initiator of a sample Club that has its Annual General Meeting set for November.  The use of either male or female gender (including the legal title of  Chairman) anywhere in this document is taken to include both men and women.

General Responsibilities

  • Maintain a database of the events that each member has organised. This database needs to be maintained on a monthly basis to enable the 'One event per year' requirement to be policed.
  • Each month, go through the members who are in their ninth month of membership. Determine those members who have not hosted an event within the nine months. Present the names of these members to the Committee Meeting to establish if their are any mitigating circumstances which would explain non-hosting of an event. Telephone such members as agreed by the committee to encourage them to host an event prior to their membership renewal and advise the consequences of not doing so. If there is no success, then send out the warning letter two months prior to their renewal month. On the last Friday prior to the bulletin distribution event, contact the Membership Secretary to advise those members whose subscriptions will need to be doubled on their renewal letter. This process requires co-ordination with Activities Co-ordinator to ensure that members have not placed an event in the bulletin in the intervening periods as appropriate and thus avoid any potential embarassment.
  • The database can provide information for the Activities Co-ordinator as to the types of events that members have done in the past and therefore may be relied upon to repeat, e.g. new members evenings, bulletin distributions, parties, etc.
  • Provide encouragement to new / old members to hold events and to act as a catalyst for event initiation.
  • To ensure that members are aware of the event subsidy available for food.
  • Ensure that prospective members are aware of their obligation to provide at least one event per year.
  • Provide statistics on a quarterly basis to the Committee Meeting as to the success of members holding events.
  • Act as a focal point for any initiation of activites, e.g. Connect Columns.
