Activities Officer - Club Job Description
The following job description is for the Activities Co-ordinator of a sample Club that has its Annual General Meeting set for November. The use of either male or female gender (including the legal title of Chairman) anywhere in this document is taken to include both men and women.
General Responsibilities
- To ensure a diverse range of events are available for club members with sufficient events for each calender month.
- To retain the 'Black Folder' and ensure that it is present at as many events as possible. If unable to attend in person, ensure that the 'Black Folder' is handed to another committee member who can act on behalf of the Activities Co-ordinator.
- To ensure that 'Black Folder' has sufficient stocks of Event Sheets (Annex A) and monthly Record Sheets (Annex B) for instant use.
- To ensure that all weekends have event coverage & that there are two New Members Evenings / Afternoons per month.
- To avoid event clashes, e.g. Similar events in close proximity on the same day, repetition of same type of event on consecutive days.
- To ensure that members are aware of the event subsidy available for food.
- To present a summary of events at each committee meeting for the next month requiring committee attendance such that adequate attendance can be assured.
- To decide dates for bulletin distribution in advance so that members will receive their bulletins second class in advance of the beginning of the next month.
- To co-ordinate with and, as necessary, delegate to the Activities Initiator if specific events are required, or events are required in specific geographic areas (if applicable).
- To ensure that all information on event sheets is present and correct, e.g. date, location, starting time & telephone number. To chase members for event details to ensure that all the event forms are in a suitable state prior to bulletin typing.
- To ensure that all event sheets are presented to bulletin typists in chronological order together with a cover sheet giving a summary of events for the month.
- To liaise regarding supply of bulletin covers & to ensure they are detailed correctly and are of suitable quality for printing.
- To retain a sample bulletin for future reference and maintain an archive of such bulletins.
- To retain original bulletin masters when returned from the printer.
