AIVC Liaison Officer - Club Job Description

The following job description is for the Secretary of a sample Club that has its Annual General Meeting set for November.  The use of either male or female gender (including the legal title of  Chairman) anywhere in this document is taken to include both men and women.

General Responsibilities

  • Act as contact for the Association of IVCs (AIVC) and other IVCs across the country.
  • Receive the AIVC Newslines / Newsletter and ensure that it is distributed to all committee members, normally at the next committee meeting, or before if possible.
  • Receive bulletins from other IVCs. Ensure that they are taken to events and that ordinary members are able to view them. Read through the bulletins to see if there are any ideas for events / general items which may be of interest to IVC.
  • Maintain an up to date list of ALOs, etc. for other IVCs. Respond to enquiries from IVC members requesting information on other IVCs.
  • Ensure that changes of address received from other IVCs are forwarded to the Membership Secretary so that the Membership Database can be updated for address labels.
  • Ensure that AIVC business is raised at committee meetings, or before with the chairman if considered necessary.
  • Ensure that summaries of other IVCs Weekends / holidays are forwarded to the bulletin typists for the next month. Retain copies of booking forms / information as appropriate for distribution to IVC members on request.
  • Liaise with neighbouring club's ALOs and IVC Activities Co-ordinator to promote and organise joint events.
  • Attend the AIVC Conference / ensure adequate IVC presence.
  • Co-ordinate and mastermind IVC Weekend. (Advice contained within the AIVC Handbook).
